2. DEFINITION OF DATA ELEMENT:
Notation composed of the code of the institution that holds the document, and the physical location number of the document (call number) in its collection.
3. NOTES:
a) When the document’s call number is known, it should be recorded in the following attributes:
Attribute a: Classification number Record the classification number (NLM, CDU, DEWEY, etc.) or another form of document classification.
Attribute b: Author number Record the author number (Cutter-Sanborn, PHA, etc.).
Attribute c: Volume, tome, part, etc. Record information regarding volume, tome, part, etc. that are part of the call number, separated by commas.
Attribute t: See annotation in the “Loan System” item of this field.
EXAMPLES:
a) BR1.1a: 1.00 This example indicates that BR1.1 is the institution code that holds the document, a: is the indicator of attribute a:, and 1.00 is the call number of the document in the institution’s collection.
b) BR1365.1a: 200 b: C55u BR734.1 a: 217 b: C55u This example indicates that the document is located in two institutions, BR1365.1 and BR734.1.
c) BR67.1a: 32 b: T17 a: cv.1, e.2 This example indicates that the document is located in the institution BR67.1 under the following numbers: 614.32 (classification number) T17a (cutter number) v.1 (volume 1)
5. LOAN SYSTEM:
For libraries using LILDBI for inventory management along with the EMP application for loan control, it is recommended to use the following structure in addition to the already detailed one:
Attribute t: Record in attribute t: the document’s accession number. If it is a collection as a whole, all volumes belonging to the collection should be represented, each volume containing its own location number, including attribute t: If it is not a collection as a whole, there is no need to fill in this attribute, and only the Accession field can be used. t: Accession number.
