1. DESCRIPTION OF THE DATA FIELD:

2. DATA ELEMENT DEFINITION:

Name of the person responsible for the intellectual content of a document. In the LILACS Methodology, authorship is defined according to the recommendation of the International Committee of Medical Journal Editors – ICMJE.

NOTES:

Author

a) Record the name of the responsible person starting with the last name, followed by a comma, a space, and the given name, preferably in full form. Some basic rules for filling in the personal author based on AACR2 can be found in Annex I;

b) If there is more than one responsible person, their names should be recorded in the sequence given in the document;

c) Filling in one of the data fields, Personal Author or Institutional Author, is mandatory.

d) If there is a personal author and an institutional author, record all authors.

e) It is not recommended to record documents without authorship.

Affiliation

a) Filling in the affiliation attribute (Personal Author – collection level) is mandatory only for periodic series analytics, but if filled in for monographs and unconventional ones, the same rules should be followed. An exception will occur with theses, which should not contain affiliation data, as the institution’s defense data is described in the Institution to which it is presented and Academic Title fields.

b) Adopt for the author the institution to which they belong and not the institution where the work was performed, if both are mentioned;

c) Record the Institution and its hierarchical levels in the attributes, Affiliation – Institution level 1, level 2, and level 3. From the third hierarchical level onwards, separate them with a period and space; the Country is recorded in the p attribute: Affiliation – Country and the City in the c attribute: Affiliation – City, and for filling:

Affiliation – Institution level 1: mandatory

Affiliation – Institution level 2 and 3: optional

Attribute p: Affiliation – Country is essential, provided that the Affiliation – Institution level 1 attribute is not s.af

If the Affiliation – Institution level 1 attribute is filled in with an affiliation, this field becomes mandatory. If it is not possible to identify the country, use the abbreviation s.p (without country)

Attribute c: City, is essential

d) When the author belongs to more than one institution, put the first institution, or preferably the one located in Latin America;

e) When there are 2 or more authors and only one institutional indication, assume the same institution for all;

f) When there are 2 or more authors without being able to correctly identify the institution to which they belong, leave them without affiliation.

 

Degree of responsibility

a) Indicate the degree of responsibility when it is not that of an author

b) Select the degree of responsibility, in the r attribute:, using one of the following options:

c) For special materials, the list of degrees of responsibility can be expanded using the abbreviations used by the Library of Congress, which are found in Annex VIII.

d) Only one degree of responsibility is recorded for each author.
